What your new challenge will look like

  • Responsible for providing a high level of support to the VP’s and Directors, North America

  • Work on a one-to-one basis on a variety of tasks related to the VP and Directors working life and communication.

  • Managing the VP and Directors business and personal calendar

  • Responding to emails and document requests on behalf of the VP and Directors

  • Preparing financial statements, reports, memos, invoices, letters, and other documents

  • Filing and retrieving corporate records, documents, and reports

  • Preparing for meetings, which includes drafting agendas, gathering, and printing all necessary documents, and organizing meeting logistics.

  • Arranging business and personal travel arrangements (flights, hotels, car rental etc.)

  • Preparing expense reports and verifying payment

  • Track and follow up on outstanding tasks.

  • Supervisory responsibilities for 1-3 Administrative Assistants

  • Organizing and managing corporate events

  • Other duties as assigned.

  • 15+ years’ experience working as an executive assistant in a corporate environment working with senior level executives.

  • Associate’s degree

  • Previous experience at a global organization

  • Ability to exercise good judgment in situations, with strong written and verbal communication, administrative, and organizational skills.

  • Ability to maintain a high level of discretion, confidentiality, and good judgment to manage all sensitive matters.

  • Ability to anticipate shifts in priorities, the flow of information, or changes while maintaining professionalism under simultaneous demands for attention.

  • Ability to work flexible hours/overtime as dictated by the needs of business (projects and meetings)

  • Exemplary planning and time management skills

  • Advanced Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint)

Does the interview take place onsite or virtually?

The application process is designed as a virtual experience. All discussions are carried out by telephone or via video conference. On request or if required, in-person discussions can be organized at one of our locations.

How does the onboarding process work?

We want you to feel comfortable with us right from the start and quickly become part of the team. Your supervisor will plan youronboarding experience and work together with you to plan your first few weeks with us. You will get to know us as an organization and learnabout our individual units and services and your most important contacts. We will give you time to familiarize yourself with your tasksand projects. Experienced team members will provide you with support. At the same time, you can take part in internal trainings or pursue professional development possibilities individually.
